Student Services Coordinator

Description

This position will assist our Director of Admissions and administrative staff.  This is not an entry-level position. Prior office administrative assistant experience is required.

Duties and Responsibilities 

  • Fields initial admission inquiries (phone and online), providing prospective applicant families with support and guidance, as well as a feel for the school
  • Provides Director of Admissions with preliminary evaluations
  • Schedules tours and shadow visits for parents/students
  • Assists with processing enrollment of new and current students
  • Fields all initial admission calls, providing prospective applicant families with support and guidance, as well as a feel for the school
  • Exercises personal discretion and judgment while supporting families through the Admission process
  • Processes applications for admission, enters data into Admissions database, sets up files, verifies status of application folders, and effectively communicates with prospective families about the process
  • Data entry of student information, at the beginning of school and the ongoing updates during the school year, in our student data program
  • Prepare and update students’ cum (hard copy) files
  • Maintain homeroom class lists and distribute
  • Data entry and update of students’ class schedule throughout the year in our student data program
  • Management of student transcripts and report cards
  • Handle all inquiries into student records
  • Maintain all documentation with regards to school withdrawals, as well as those pertaining to district students
  • Other duties as assigned by Director of Admissions

Demonstrated skills, qualities and characteristics

  • Courtesy, discretion and tact to work sensitively with prospective applicant families, current parents and faculty, both over the telephone and in person
  • Organization skills and attention to detail critical
  • Computer literacy with relevant experience using Microsoft Office experience preferred.
  • Willingness and ability to learn how to navigate and utilize the school’s student database and enrollment management system
  • Experience working in a busy team environment
  • Background in special education desired, but willing to train the right person
  • A “can do” attitude in combination with a good sense of humor
